> Insert and format shapes, type in them, merge them, and meet icons and 3D models. Then layer, align, distribute, and group objects.

Shapes help transform simple slides into visual diagrams, process flows, and organized layouts. Using shapes, arrows, icons, and object arrangement tools, you can create professional visuals without needing graphic design software. In this lesson, you'll learn how to insert and format shapes, add text inside them, combine shapes, work with icons and 3D models, and organize objects using alignment, grouping, and layering tools.

Open the **PowerPoint sandbox** and follow along.

## Insert a Shape

PowerPoint includes a large collection of built-in shapes.

To insert a shape:

1. Click **Insert** > **Shapes**.
2. Select a shape from the gallery.

Common choices include:

- Rectangle
- Rounded Rectangle
- Circle
- Arrow
- Star
- Callout

In the sandbox, the shape appears in the middle of the slide and can be repositioned and resized.

In PowerPoint:

- Click and drag to draw the shape.
- Hold **Shift** while drawing to create a perfect square or circle.

Some shapes include a yellow adjustment handle that changes the appearance of the shape, such as:

- Corner roundness
- Arrow width
- Callout position

## Format a Shape

Once a shape is selected, formatting options become available.

| Command | Purpose |
|----------|----------|
| Shape Fill | Changes the inside color |
| Shape Outline | Changes border color, width, and style |
| Shape Effects | Adds shadows, glow, reflection, and bevel effects |
| Shape Styles | Applies predefined combinations of fills, outlines, and effects |

In the sandbox, additional formatting controls are available in the inspector panel.

Available settings include:

- Fill color
- Border color
- Border width
- Fill transparency

## Add Text to a Shape

Shapes can contain their own text.

To add text:

1. Double-click the shape.
2. Type your text.

Examples:

Start

Step 1

Review

The text moves and resizes with the shape.

You can format the text using:

- Font
- Font Size
- Font Color
- Alignment
- Bullets

Simple process diagrams can be created using labeled shapes connected by arrows.

## Merge Shapes

Merge Shapes combines multiple shapes into a new custom shape.

Select two or more overlapping shapes and choose a merge option.

| Option | Result |
|----------|----------|
| Union | Combines all selected shapes into one |
| Combine | Joins shapes and removes overlapping areas |
| Fragment | Splits shapes into separate pieces |
| Intersect | Keeps only the overlapping area |
| Subtract | Removes one shape from another |

Merge Shapes is useful when creating:

- Custom icons
- Diagram components
- Unique visual elements

## Icons and 3D Models

### Icons

PowerPoint includes a library of scalable icons.

To insert an icon:

1. Click **Insert** > **Icons**.
2. Select an icon.
3. Click **Insert**.

Icons can be:

- Resized
- Recolored
- Rotated

without losing quality.

### 3D Models

PowerPoint also supports 3D objects.

To insert a 3D model:

1. Click **Insert** > **3D Models**.
2. Choose a model.
3. Insert it onto the slide.

You can then:

- Rotate the model
- Change its viewing angle
- Resize it

Icons and 3D models are available in Microsoft PowerPoint but are not included in the PowerPoint sandbox.

## Arrange Objects

When multiple objects overlap, PowerPoint places them in layers.

### Bring Forward

Moves an object closer to the front.

### Send Backward

Moves an object further behind other objects.

### Bring to Front

Moves an object to the top layer.

### Send to Back

Moves an object behind all other objects.

These commands are available from: Home > Arrange

## Align Objects

Alignment helps create neat and professional layouts.

To align multiple objects:

1. Select all required objects.
2. Click **Align**.

Available options include:

- Align Left
- Align Center
- Align Right
- Align Top
- Align Middle
- Align Bottom

Alignment ensures objects line up perfectly.

## Distribute Objects

Distribution creates equal spacing between objects.

Options include:

- Distribute Horizontally
- Distribute Vertically

Distribution is useful when arranging:

- Process steps
- Diagrams
- Icons
- Photos

Objects should generally be aligned before they are distributed.

## Group and Ungroup

Grouping combines multiple objects so they behave as a single object.

To group objects:

1. Select all objects.
2. Press: Ctrl + G or choose **Group** from the Arrange menu.

To ungroup objects: Ctrl + Shift + G

Grouping helps keep diagrams and layouts together.

After finishing a diagram, group all shapes, arrows, and labels so they stay together when moved or resized.

## Selection Pane

The Selection Pane displays every object on the current slide.

It allows you to:

- Select hidden objects
- Rename objects
- Change object order
- Show or hide objects

The Selection Pane is especially useful when several objects overlap.

In the sandbox, similar functionality is available through the **Elements** panel.

## Gridlines and Guides

Gridlines and Guides help position objects accurately.

### Gridlines

Display a grid across the slide to help with alignment.

### Guides

Display adjustable horizontal and vertical guide lines.

Benefits include:

- Better alignment
- Consistent spacing
- Easier object placement

Objects can snap to guides while being moved.

## Common mistakes

| Mistake | What happens | How to fix it |
|---|---|---|
| Moving one piece of a diagram | The diagram breaks apart | Group the pieces first |
| Shapes almost lined up | The slide looks careless | Select them and use **Align** |
| Can't click an object | Another object is on top of it | Use the Selection Pane, or Send Backward |
| Stretched circle | It becomes an oval | Hold **Shift** while resizing |
| Dark text on a dark shape | It's unreadable | Change the shape fill or the font color |

## Exercise

Click **Reset** in the sandbox header. Add a slide with the **Blank** layout (the arrow under **New Slide**). Then do each task on slide 2 and press **Check**.
