> Create, open, save, and close presentations, use Save As and AutoSave, start from a template, and choose between PPTX, PPSX, and PDF.

Before creating a presentation, it's important to understand how to manage presentation files. In this lesson, you'll learn how to create new presentations, open existing presentations, save your work, use Save As, understand AutoSave, choose appropriate file formats, and work with templates.

Open the PowerPoint sandbox and follow along. Most of the commands covered in this lesson are available from the **File** tab.

## The File Tab

Click **File** on the Ribbon to open **Backstage View**. This area contains commands for managing presentations.

| Command | Purpose |
|----------|----------|
| Home | Access recent and recommended presentations |
| New | Create a new presentation or use a template |
| Open | Open an existing presentation |
| Info | View presentation properties and details |
| Save | Save changes to the current presentation |
| Save As | Save a copy with a new name, location, or format |
| Print | Print slides, notes, or handouts |
| Share | Share the presentation with others |
| Export | Create PDFs, videos, and other formats |
| Close | Close the current presentation |

To return to your presentation, click the back arrow or press **Esc**.

## Create a New Presentation

To create a new presentation in PowerPoint:

1. Click **File** > **New**.
2. Select **Blank Presentation** or choose a template.

A blank presentation typically opens with a Title Slide containing placeholders for a title and subtitle.

Keyboard shortcut: Ctrl + N

In the PowerPoint sandbox, click **Reset** to start a new presentation. The sandbox also provides a **New** option from the File menu.

## Templates

A template is a pre-designed presentation that includes coordinated colors, fonts, backgrounds, and layouts.

Templates help:

- Save time
- Maintain a professional appearance
- Provide consistent slide designs

Examples include:

- Business templates
- Education templates
- Project presentation templates
- Creative presentation templates

Choose a template that matches your audience and topic. Use the same design throughout the presentation for a consistent appearance.

## Open a Presentation

To open an existing presentation:

1. Click **File** > **Open**.
2. Select **Browse**.
3. Locate the presentation file.
4. Click **Open**.

Keyboard shortcut: Ctrl + O

The **Recent** section in Backstage View displays presentations you have opened recently.

## Save a Presentation

The first time you save a presentation, PowerPoint asks for:

- A file name
- A save location

After the initial save, PowerPoint updates the same file each time you save.

Ways to save:

- Click the **Save** button on the Quick Access Toolbar.
- Press: Ctrl + S
- Select **File** > **Save**.

Saving frequently helps prevent data loss.

In the sandbox, Save stores the presentation in the browser. To download a PowerPoint file to your computer, use **Download** or **Save As** and select PowerPoint Presentation.

## Save As

**Save As** creates a new copy of a presentation.

Common uses include:

- Creating a new version
- Changing the file name
- Saving to a different location
- Saving in a different file format

Examples:

Project Update.pptx

Project Update v2.pptx

Project Update Final.pptx

After completing a Save As operation, you continue working in the newly created file.

## AutoSave

AutoSave automatically saves changes while you work.

In PowerPoint:

- AutoSave works for files stored in OneDrive or SharePoint.
- Local files usually require manual saving.

In the PowerPoint sandbox, AutoSave is turned off.

## File Formats

Different formats are available depending on how the presentation will be used.

| Format | Extension | Purpose |
|----------|----------|----------|
| PowerPoint Presentation | `.pptx` | Standard editable presentation |
| PowerPoint Show | `.ppsx` | Opens directly in Slide Show view |
| PowerPoint Template | `.potx` | Creates new presentations with a predefined design |
| PowerPoint 97-2003 Presentation | `.ppt` | Compatibility with older PowerPoint versions |
| PDF | `.pdf` | Easy viewing and printing without editing |

Keep your working presentation as a `.pptx` file. When sharing slides for viewing or printing, export a PDF version.

## Close a Presentation

To close a presentation:

1. Click **File** > **Close**.

If the presentation contains unsaved changes, PowerPoint asks whether you want to:

- Save
- Don't Save
- Cancel

Choose carefully, as **Don't Save** discards unsaved changes.

## Common mistakes

| Mistake | What happens | How to fix it |
|---|---|---|
| Clicking **Don't Save** when closing | Your changes are lost | Read the question; choose **Save** |
| Saving over the original with Save | The old version is gone | Use **Save As** with a new name first |
| Sending only a `.pptx` | People without PowerPoint can't open it | Also send a **PDF** |
| Saving in `.ppt` format | Newer features are lost | Use `.pptx` unless someone really needs `.ppt` |
| Not knowing where the file was saved | You can't find it later | Check **File** > **Info**, or the **Recent** list |

## Exercise

Click **Reset** in the sandbox header to start a new blank presentation. Then do each task and press **Check**.
