> Use 24 ready prompts for Admin, Coordination, Sales, Marketing, Accounts & Finance and HR. Each is a CRAFT template with the rules that role must follow. Run one per role on Kestrel data and save the ones you need.

## Your Job, Ready to Go

You have learned the core workflow for using AI at work:

- Use CRAFT to write better prompts.
- Follow up instead of starting over.
- Check important facts before sending anything.
- Protect personal and company data.

Now it is time to apply those skills to the work you do every week.

This lesson gives you **24 ready-to-use prompts**, with four prompts for each of six common business roles. Every prompt is based on the CRAFT method and already contains placeholders you can fill in with your own details.

**In simple words:** Don't start from a blank box. Start from a prompt that already works and fill in the details.

## TL;DR

- A **playbook** is a collection of proven prompts for a specific role.
- There are four prompts for each role:
  - Admin
  - Coordination
  - Sales
  - Marketing
  - Accounts & Finance
  - HR
- Every prompt includes the role's important rules.
- Replace every `[placeholder]` before using the prompt.
- Run the prompt in your company's approved AI tool.
- Save useful prompts to your prompt library.

## A Real-World Example

Think about a new employee's first week. A good manager does not simply say:

*"Write the weekly report."*

Instead, they hand over last month's report and say:

*"Use this as your starting point."*

A playbook works the same way. Someone has already figured out how to write a good status report, supplier update, marketing email, or job description. You start from that successful prompt instead of creating one from scratch.

## What You Will Learn

In this lesson, you will learn:

1. Where to find prompts for your role.
2. Why different roles need different rules.
3. How to use role-specific prompts.
4. How to adapt prompts to your own work.
5. How to save useful prompts for future use.

## The Playbooks

Choose your role.

Copy a prompt directly or save it to your library for later.

The AI used inside these lessons is much smaller than many workplace AI tools. For real work, copy these prompts into your company's approved AI tool. The examples in these lessons use fictional Kestrel data for practice.

## The Rules Built Into Each Role

Different jobs have different risks.

Because of that, each playbook includes special rules for that role.

| Role | Rule | Why It Matters |
|---|---|---|
| Sales and Marketing | Describe price as value, never as "cheap". Never offer discounts or change terms. | Only authorized staff can approve discounts, and "cheap" can reduce perceived value. |
| Accounts & Finance | Keep calculations in spreadsheets. Bank details always remain placeholders. | AI can make calculation mistakes, and sensitive financial details should not be shared. |
| HR | Never rank candidates or rate employees. Focus only on job-related information. | Hiring and employee decisions require human judgement and fairness. |
| Admin and Coordination | Use only the information provided. Use TBD when something is missing. | Invented owners, dates, or rules cause confusion and mistakes. |

**Easy way to remember:** Every playbook prompt is CRAFT plus one important rule for that role.

## Try One Prompt per Role

Each practice box below uses one prompt from its role-specific playbook.

Start with the role closest to your own.

### Admin: Turn a Policy into an FAQ

### Coordination: Create a Weekly Status Report

### Sales: Follow Up After a Product Demo

### Marketing: Create Subject Lines with Different Angles

### Accounts & Finance: Explain a Spreadsheet Formula

### HR: Create Structured Interview Questions

Notice how the role-specific rule changes the result:

- Admin avoids inventing information.
- Coordination uses clear status reporting.
- Sales focuses on value rather than discounts.
- Marketing labels different message angles.
- Finance explains calculations without doing them.
- HR focuses on the job, not the person.

## Make It Yours

### Adapt a Playbook Prompt

A playbook prompt is a starting point, not a finished product.

To adapt one for your work:

1. Replace every `[placeholder]`.
2. Adjust the tone if needed.
3. Adjust the length for your audience.
4. Add any team-specific rules.
5. Save the final version to your library.

Examples of useful additions include:

- Use UK English.
- Keep responses under 100 words.
- Use bullet points instead of paragraphs.
- Include action items at the end.

Before using a playbook prompt with real business information, follow the data-safety rules from the previous lesson. Remove personal details and use placeholders where appropriate.

## Common mistakes

| Mistake | What Happens | How to Fix It |
|---|---|---|
| Removing the role rule | Discounts, invented facts, or inappropriate questions appear | Keep the rule in the prompt |
| Using another role's prompt without editing it | The wording and rules do not fit your work | Adapt the role, audience, and rule |
| Letting AI calculate financial totals | Incorrect numbers may look correct | Use spreadsheets for calculations |
| Asking AI to choose the best candidate | Creates unfair hiring decisions | Use AI for question creation only |
| Leaving placeholders in the prompt | Placeholders appear in the final output | Review before sending |

## Exercise

- Replace all placeholders before using a prompt.
- Use your company's approved AI tools.
- Save useful prompts to your library.

### Key Takeaway

**The fastest way to get good AI results is to start with a prompt that already works.**

Playbooks save time, improve consistency, and help you follow the rules that matter most for your role.
