Worksheet Management

Insert, rename, delete, move, and copy worksheets, and freeze panes to keep headings in view.
One workbook can hold many worksheets: one for each month, one for each team, or one for data and one for a summary. When sheets are organized well, the workbook is easier to use. In this lesson, you will insert, rename, delete, move, and copy sheets, and freeze panes so headings stay visible while you scroll.
Open the Excel sandbox and follow along. Most sheet tools are on the sheet tab’s right-click menu.
Insert sheet
- Click the + button next to the sheet tabs, or
- Right-click a sheet tab and choose Insert.
The new sheet gets a name like Sheet2. In Excel, Shift + F11 also inserts a sheet.
Rename sheet
Sheet names should tell you what is on the sheet: January, Sales, Summary.
- Double-click the sheet tab, or right-click it and choose Rename.
- Type the new name and press Enter.
Names can be up to 31 characters long, and they cannot contain / \ ? * [ ] or :.
Short, clear names make formulas easier to read later. =Jan!B10 is much easier to read than ='Sales figures for January 2026'!B10.
Delete sheet
- Right-click the sheet tab.
- Choose Delete, and confirm.
Deleting a sheet cannot be undone with Ctrl + Z. Everything on it is gone, and any formulas on other sheets that used it will show #REF!. Check twice before deleting, and save a copy of the workbook first if you are unsure.
Move sheet
Drag a sheet tab left or right on the tab bar, and drop it where you want it. A small arrow shows where it will land.
Or right-click the tab, choose Move or Copy, and pick a position.
Copy sheet
A copy is useful when you want the same layout again, such as making February’s sheet from January’s.
- Right-click the tab and choose Duplicate or Move or Copy, then tick Create a copy.
- In Excel, hold Ctrl while dragging a tab to make a copy.
The copy gets a name like January (2). Rename it right away.
Freeze panes
In a long table, the heading row can scroll off the top of the screen, and then it is hard to remember which column is which. Freeze Panes keeps rows or columns in place while the rest of the sheet scrolls.
Go to View > Freeze Panes and choose:
| Option | Keeps in view |
|---|---|
| Freeze Top Row | Row 1 |
| Freeze First Column | Column A |
| Freeze Panes | Everything above and to the left of the selected cell; select B2 to freeze row 1 and column A together |
A thin line shows where the freeze is. Choose Unfreeze Panes to turn it off.
Freezing only changes what you see while scrolling. It does not change the data or how the sheet prints. To repeat headings on printed pages, use print titles (Lesson 25).
Common mistakes
| Mistake | What happens | How to fix it |
|---|---|---|
| Deleting the wrong sheet | Data is lost, and Undo does not help | Close without saving, or reopen a saved copy |
Forbidden characters in a name, like / | Excel rejects the name | Use - or a space instead |
| Copy not renamed | Tabs like January (2) confuse people | Rename copies right away |
| Freezing with the wrong cell selected | Too many or too few rows freeze | Unfreeze, select the right cell, and freeze again |
| Too many sheets to see | Tabs disappear off the edge | Use the arrows by the tabs, or right-click them for a list |
Exercise
Click Reset in the sandbox header. Then do each task and press Check.
What to remember
- Insert with the + button; rename by double-clicking the tab.
- Delete from the right-click menu; it cannot be undone.
- Drag tabs to move them; Duplicate to copy a sheet.
- Give sheets short, clear names.
- View > Freeze Panes keeps headings in view while you scroll.
In the next lesson, you will use formulas that pull data from several sheets, and protect your work.
