Printing, Export and Sharing

By the Syncfusion DevTutorials team · Last updated

Print slides, notes, handouts, and outlines; export to PDF, pictures, GIF, and video; package, share, protect, and inspect a presentation. Then prepare a workshop deck in the Chapter 7 project.

Creating a presentation is only part of the process. Once your slides are complete, you may need to print them, share them with others, export them to different formats, or prepare them for collaboration. In this lesson, you'll learn how to print presentations, export slides as PDFs, images, GIFs, and videos, package presentations for sharing, manage document properties, inspect files for hidden content, and protect presentations before distributing them.

Open the PowerPoint sandbox and follow along. Most of these features begin in the File tab.

Before You Share a Presentation

A PowerPoint presentation contains more than just visible slides.

When you share a .pptx file, it may also include:

  • Hidden slides
  • Speaker notes
  • Comments
  • Document properties
  • Author information
  • Off-slide objects
  • Embedded media

Because of this, always review and clean up a presentation before sharing it.

Hidden slides, speaker notes, comments, and document information remain inside the presentation file unless you remove them.

Document Properties

Document properties store information about a presentation.

Common properties include:

  • Title
  • Subject
  • Author
  • Keywords
  • Category
  • Description
  • Company
  • Manager

In the Sandbox

  1. Click File > Info > Inspect Presentation.
  2. Edit the required properties.
  3. Press Tab after entering a value.

In Microsoft PowerPoint

  1. Click File > Info.
  2. Edit properties such as Title and Author.

Example:

Title: Healthy Eating Workshop

Author: Sam Lee

Providing accurate document properties makes files easier to identify, search, and organize.

Inspect Document

PowerPoint can search for hidden content before a presentation is shared.

To inspect a presentation:

  1. Click File > Info.
  2. Select Check for Issues.
  3. Choose Inspect Document.
  4. Run the inspection.

Common items that may be detected include:

Item FoundWhy It Matters
CommentsReview notes may be exposed
Document propertiesPersonal information may be included
Speaker notesPrivate presentation notes may be visible
Off-slide contentHidden objects may still exist
Hidden contentInvisible objects may remain in the file

PowerPoint provides a Remove All option for many detected items.

Inspect a copy of the presentation whenever possible. Removing hidden information cannot always be undone easily.

Protect Presentations

PowerPoint includes several protection options.

Encrypt with Password

Requires users to enter a password before opening the file.

Benefits:

  • Restricts access
  • Protects sensitive information

Remember to store passwords safely.

Mark as Final

Indicates that the presentation is finished.

Benefits:

  • Discourages editing
  • Makes the presentation appear as a final version

Users can still choose to edit the presentation if needed.

Digital Signatures

Digital signatures help verify:

  • Who approved the presentation
  • Whether the file has been modified

Print Presentations

To print a presentation:

  1. Click File > Print.
  2. Or press: Ctrl + P

PowerPoint offers several print layouts.

LayoutPurpose
Full Page SlidesOne slide per page
Notes PagesSlides with speaker notes
OutlineText only
HandoutsMultiple slides per page

Handouts

Available layouts include:

  • 1 slide per page
  • 2 slides per page
  • 3 slides per page
  • 4 slides per page
  • 6 slides per page
  • 9 slides per page

The 3 Slides layout includes note-taking lines beside each slide.

Color Options

Printing options include:

  • Color
  • Grayscale
  • Pure Black and White

Grayscale is often useful for drafts and reduces ink usage.

Always review the Print Preview before printing. It helps verify page counts, layouts, and formatting.

Export as PDF

PDF is one of the most common presentation export formats.

Benefits include:

  • Consistent appearance on all devices
  • No PowerPoint required
  • Easy sharing and printing
  • Reduced risk of accidental editing

Sandbox

File > Export > Create PDF

Microsoft PowerPoint

File > Export > Create PDF/XPS

You can export:

  • Entire presentations
  • Specific slide ranges
  • Notes pages
  • Handouts

PDF Limitations

PDF files preserve:

  • Text
  • Images
  • Charts
  • Hyperlinks

PDF files do not preserve:

  • Animations
  • Transitions
  • Audio playback
  • Video playback

Export as Images

You can export slides as image files.

Common uses include:

  • Social media posts
  • Reports
  • Websites
  • Email attachments

Export Current Slide

Creates a PNG image of the selected slide.

Copy as Image

Copies the slide to the clipboard for pasting into other applications.

Export as GIF

Animated GIF export creates a lightweight animated version of the presentation.

Benefits:

  • Easy sharing online
  • Works in websites and messaging platforms
  • Automatically loops

GIFs are useful for simple presentation previews.

Export as Video

PowerPoint can convert a presentation into a video.

Video exports can include:

  • Slide transitions
  • Animations
  • Slide timings
  • Recorded narration

Common quality options include:

  • Full HD
  • HD
  • Standard

Videos are ideal for audiences who cannot attend a live presentation.

Package a Presentation

Sometimes presentations contain:

  • Linked videos
  • Linked audio files
  • Custom fonts

These resources may be missing when the presentation is opened on another computer.

Package Presentation for CD

This feature collects:

  • Presentation files
  • Linked media
  • Supporting files

into one folder.

The folder can then be copied to:

  • USB drives
  • External storage
  • Other computers

Embed Fonts

Embedding fonts helps ensure presentations display correctly on other devices.

Share Presentations

There are two common ways to share PowerPoint files.

MethodBest For
Email attachmentSharing a finished copy
Cloud sharingReal-time collaboration

Share a Copy

When sending a copy:

  • Recipients get their own file.
  • Your future changes are not reflected.
  • Their changes remain separate.

Share a Link

When sharing through OneDrive or SharePoint:

  • Everyone works on the same file.
  • Changes update automatically.
  • Collaboration becomes easier.

Choose permissions carefully:

  • Can View for readers
  • Can Edit for collaborators

Common mistakes

MistakeWhat HappensHow to Fix It
Printing all slides accidentallyExcessive paper usageCheck print settings and preview before printing
Sharing presentations with private notesConfidential information may be exposedRemove notes or use Document Inspector
Forgetting a passwordNobody can open the fileStore passwords in a secure location
Missing linked media on another computerVideos or audio fail to playPackage the presentation or embed content
Giving edit access to everyoneUnwanted changes may occurShare view-only links when editing isn't required

Exercise

Click Load the practice presentation below. It's the deck from a healthy eating workshop. Then do each task and press Check. Tasks with Mark as done happen outside the slides (a download or a print window), so the sandbox can't check them for you.

Chapter project

Put Chapter 7 together. The workshop is over, and the organiser wants the slides sent to everyone who came: as a clean file and a PDF. Slide 4 holds the trainer's private notes, including the projector code.

Workshop Handout

What to Remember

  • File > Print can print full slides, notes pages, handouts, or outlines.
  • Handouts are available in several layouts, including the popular 3 Slides layout for note-taking.
  • Export can create PDFs, images, GIFs, and videos.
  • PDFs preserve layout and hyperlinks but not animations or transitions.
  • Video exports include transitions, animations, timings, and narration.
  • Package Presentation for CD gathers presentations and linked files into a single package.
  • Use OneDrive or SharePoint for collaborative editing.
  • Use Encrypt with Password and Mark as Final to help protect presentations.
  • Review document properties such as Title and Author before sharing.
  • Inspect Document helps find comments, notes, hidden objects, and personal information.
  • Remove private content before exporting or sharing a presentation.

That's the end of Chapter 7. In Chapter 8, you'll learn how to use the Slide Master, customize presentation-wide design settings, and create self-running presentations.
